Adding an Office Email Account/ Office Calendar on a Mac

Issue/Question

How do I add a office mailbox or a office calendar in Outlook 2016 for Mac? 

Resolution

The following steps will show you how to add an office email account and a office calendar account. 

Adding Office Email

  1. Open Outlook 2016.
    • If prompted to sign in, do so with your BGSU email address and password. Authenticate with DUO.  At this point, the account will be added. This will most likely occur if you have never used Outlook 2016. 
  2. From the toolbar select Tools and then Accounts.
  3. Once the Account box opens, select the plus (+) symbol to add an additional mail account.
  4. Select Exchange when prompted.
  5. Enter the email address of the shared mailbox and details according to the following:
    • Method: Username and Password
    • Username: bgsu.edu\username@bgsu.edu
    • Password: BGSU Password
  6. Select Add Account.
  7. Enter BGSU Credentials. 
    • If dialog box pops up asking for permission to use server information, select the always use my response for this server check box and select Allow. Pop up may appear multiple times. 
  8. Once you have proceeded through the dialog box, the account will be added and mail will begin to download. 
    • Note: The shared email account name will default to BGSU1.  It is recommended to rename the shared Inbox to the shared mailbox name.I

Adding Office Calendar

If you are opening an office or shared calendar, be sure you know the username for that calendar. If you are not sure of the username, please contact the Technology Support Center. Access to the the office calendar is required. Access can be requested by an account owner using the Access Changes form.

  1. Right click on Shared Calendars
  2. Select Add Calendar 
  3. Select From Address Book
  4. Verify the Address Book says Offline Global Address List - username@bgsu.edu. 
  5. Type in office calendar you are trying to find in the Search bar.
  6. Select the Calendar when it is found.
  7. Select OK
  8. The newly added shared calendar will show on the left hand side underneath your Shared Calendars heading.
