Assign Students to Breakout Rooms Prior to Meeting Time


Can I assign my students to specific breakout rooms when creating a Zoom meeting ahead of time?


Yes, but only from within the Zoom Web Application. Follow the instructions below to set up breakout rooms in advance.


When Creating the Meeting Through the Zoom Web App

Create Rooms Manually

  1. Ensure all of your students have signed in at least one time using the information on our Zoom Landing Page.
  2. Create your meeting through the Zoom Web Application.
  3. Select the option for Breakout Room pre-assign under Meeting Options.
  4. Select Create Rooms.Yes, but only when the host creates/schedules the meeting using the Zoom web application.
  5. Use the window that appears to add rooms and participants

CSV Upload

(Best for meetings with large numbers of attendees) 

  1. Sign in to the Zoom web portal.
  2. Select Meetings and then select schedule a meeting.
  3. In the Meeting Options section, select Breakout Room pre-assign and click Import from CSV.
  4. Click download to download a sample CSV file you can fill out.
  5. Open the CSV file with spreadsheet software like Microsoft Excel.
  6. Fill in the Pre-assign Room Name column with the breakout room name, and the Email Address column with the assigned participant's email address
  7. Save the file.
  8. Drag and drop the file in the web portal.

If you would like to import a meeting created in the Zoom Web App into your Canvas course, follow these instructions


When Creating the Meeting in Canvas

  1. Create a new meeting within Canvas as you normally would.
  2. Log In to Zoom Web Application.
  3. Select the menu item for Meetings and then select the meeting you scheduled in Canvas.
  4. Select the Edit button at the bottom of the screen.
    • For a recurring meeting, click Edit All Occurrences
  5. Select Create Rooms.
  6. Use the window that appears to add rooms and participants
  7. The breakout rooms configured for your meeting using the Zoom Web App will be automatically applied to your meeting when you start breakout rooms from within Canvas.

Please Note: Any changes you would like to make to breakout rooms before the meeting starts must be made using the Zoom Web Application.
