Technology Review Request - Required Vendor Information

Question

What information should I request from the vendor prior to submitting a technology review request to ITS?

Answer

This article contains a variety of questions from the ITS Technology Review request form that should be shared with and answered by the vendor prior to submitting your request. ITS does not expect the requestor to be familiar with these terms and/or know the answers. Please copy/paste and send these questions to your vendor. 

Please note: If the request form does not include all of the required elements upon submission it will be automatically denied.

 

Will this technology require authentication?

BGSU requires multi-factor authentication be enabled, when possible, for all applications requiring authentication. 

If YES, please provide authentication details:

  • Does the technology integrate with current directories (AD / Okta)? 
  • Does the technology support SSO (SAML IDP and Okta)? 
  • Does the technology require any type of PKI (i.e., certificates)? 

 

Does the technology require any special email capabilities (e.g., email spoofing so it appears to come from BGSU, DKIM, etc.)?

 

 

Does this technology require any special network needs?

Please note any special network needs for your technology (e.g., if multicast is needed, if network isolation is needed).  If you intend to use this technology wirelessly, please state what authentication methods are supported by the product.

 

If the technology will be integrated with an existing BGSU-owned technology (i.e., Canvas, PeopleSoft, BGSU fileshare/printers, other), please provide integration details.

Please describe more details about what you are looking for with an integration: how often is data refreshed, and does the technology support SCP, Web, SFTP, API protocols?

 

If the technology will be integrated with an existing BGSU-owned technology (i.e., Canvas, PeopleSoft, BGSU fileshare/printers, other), please provide integration credentialing details. 

What credentialling methods are supported, and what requirements are placed on password cycling (if applicable)?

 

If the technology is to be installed on a BGSU server, please provide technical requirements.

  1. What are the hardware CPU/GPU and memory requirements? 
  2. What operating system versions does the vendor support? 
  3. Does the vendor support VMware virtualized environments? 

 

If the technology is to be installed on a BGSU server, please provide database requirements.

  1. Does the application support Oracle or MS-SQL databases? 
  2. Are there any specific version requirements? 

 

If the technology is to be installed on a BGSU server, please provide application maintenance information.

  1. How often are application-related patches available and what are the required intervals of doing so to maintain vendor support? 
  2. Does the application or technology automatically update itself relative to security vulnerabilities? 

 

If the technology is to be installed on a BGSU server, please provide an estimate of storage needed (initial and long term).

Please provide both your initial and long-term specific storage needs (e.g., 500 GB initially, 1.5 TB needed over time).  Please also note if there are any special needs (e.g., high performance), data retention requirements, or if the application does any automated purging?

 

Please provide the VPAT URL or document. If one will not be provided, please explain. 

 

 

Please provide the HECVAT document. If one will not be provided, please explain.
