What are some best practices to keep in mind when using SharePoint Sites?

Answer

  • Sites usage must be consistent with all relevant BGSU policies, including but not limited to the BGSU IT Policy and Data Use Policy.

  • Sites must not be used to share or store sensitive data such as social security numbers, driver’s license numbers, personal financial account information, and personal health information.  If this type of data needs to be shared a department file share must be created utilizing BGSU approved encryption technology.

  • Users must be sure to only share files with people authorized to view the data.

  • Users must make sure any mobile devices that connect to sites are protected from unauthorized access.

  • ITS offers a variety of options for sharing files, including sites. The use of DropBox, Google Drive and other solutions may not conform to the security standards and legal requirements of the University and should be discontinued immediately.
