Using Webex for Office Hours/Unlocking & Locking Meetings


How do I lock/unlock my personal Webex room when holding one-on-one office hours?


You may have a need to lock or unlock your Webex personal room for scheduled office hours and/or other private meetings. Locked meetings keep participants and others from entering the meeting room at any given time. To lock your Webex personal room, follow these instructions:

  1. Login to Webex
  2. Select Start Meeting under your personal room to launch the meeting. 
  3. Select Meeting from the top menu.
  4. Select Lock Meeting. This will keep attendees from joining the meeting until the host admits them. 
  5. When an attendee attempts to join a locked personal room, they will receive a message notifying them that they can join the meeting after the host admits them.
  6. On the host's screen, an alert with the name of the student attempting to join the meeting will appear under Participants.
    • The message will read Freddie Falcon is waiting in the lobby.
  7. Select Admit next to the alert to allow them to join. 
  8. If additional participants attempt to join the room, the alert will change to indicate this
  9. Selecting the alert will allow you to view the names of all the individuals requesting to join.
    1. Select Select All followed by Admit to allow all to enter at once.
    2. Select the box next to the individuals' name(s) followed by Admit to only permit specific individuals to enter. 
  10. You can continue to admit participants throughout the course of your meeting, as you finish your time with another.

ITS will decommission the Canvas Webex integration at the end of the Fall 2021 Semester. In response to faculty input, the Canvas Zoom integration was implemented during the Fall 2020 Semester as a replacement for Webex. Faculty who have not yet made the transition to Zoom should prepare to do so in the coming months, which includes the export of videos currently stored in Webex. Visit for more information.
